The Dancehouse & Co.

Studio Policies

Clear expectations protect your dancer, your investment, and the training environment every family here counts on. These are the policies every Dancehouse family agrees to at registration.

Policy 1

Liability Waiver & Health Information

By enrolling myself or my minor child(ren), or by booking or participating in any trial week, class, program, rehearsal, or event affiliated with The Dancehouse & Co. (the “Studio”), I accept the inherent risks of dance and physical conditioning, including falls, collisions, overexertion, strains, sprains, and other injuries, and I voluntarily assume full responsibility for them. In consideration for participation, I release and hold harmless the Studio, its owners, instructors, employees, contractors, volunteers, and agents from any and all claims arising from injury, illness, loss, or damage during Studio-related activities, on or off premises, to the fullest extent permitted by law.

I authorize the Studio to administer basic first aid and obtain emergency medical treatment if necessary, at my expense. The Studio does not provide transportation, and I accept the inherent risk of exposure to communicable illnesses in group activities. Families must disclose allergies, medical conditions, and physical limitations at registration and keep them current in the Parent Portal; please keep dancers home when ill. Staff do not administer medication; emergency medication must be labeled and disclosed. A dancer under a physician’s care for an injury may return to full participation only with written clearance. This release is binding on me and my heirs and assigns for the duration of participation.

Policy 2

Photo & Video Release

The Dancehouse & Co. may photograph or record students during classes, performances, and studio events, and may use these materials for marketing and archival purposes in any format, including social media, print, our website, and advertising, without compensation. We will never publicly caption or tag a dancer’s full name without parent permission. If you do not consent, email info@thedancehouseco.com before your dancer’s first class; otherwise, consent is granted at registration. Materials created while consent was in effect may continue to be used, and the studio is not obligated to remove previously published content.

Policy 3

Tuition, Billing & Withdrawals

Each family keeps a valid card on file and authorizes charges for tuition, registration fees, late fees, and other applicable fees described in these policies. An annual, non-refundable registration fee is due at enrollment each season. Season tuition is billed in ten (10) equal installments on the 1st of each month, August through May; it does not vary with class weeks and is not reduced for holidays or closures. First-month enrollment may be prorated. Sibling discount: 15% off tuition for each additional student, applied to the lowest-cost enrollment. Declined payments require an alternate method within 72 hours; balances unpaid by the 5th incur a $25 late fee, and participation may pause until resolved. Tuition and fees are non-refundable.

Missed classes are not refunded or credited. As a courtesy and subject to availability, make-ups may be scheduled in advance by email, in a class of similar level as determined by the studio, and must be completed by the end of the following calendar month; make-ups are not offered during holiday closures, are not guaranteed, and are forfeited on withdrawal. For studio-initiated closures, the studio may offer make-ups or a credit at its discretion.

To withdraw and avoid the next month’s tuition, email info@thedancehouseco.com by the 25th of the current month (example: to be effective February 1, notice is due January 25). Notice after the 25th results in the following month being charged. Verbal notice, texts, or absence do not stop billing. We will confirm your notice in writing. The studio may cancel or combine classes due to enrollment, with prompt notice and alternatives where available. Rates and policies may be updated with at least thirty (30) days’ written notice; continued enrollment after notice constitutes acceptance.

Pay-in-full option: Season tuition may be prepaid at a 5% discount via Zelle or check; to arrange it, email info@thedancehouseco.com. Prepaid tuition is non-refundable and non-creditable: if your dancer withdraws for any reason, including loss of interest, schedule conflicts, illness, or injury, the prepayment will not be refunded, credited, or transferred. Please pay in full only if you are fully confident your dancer will complete the entire season; monthly billing is the right choice for everyone else. If the studio ends an enrollment or cancels a class without an available alternative, unused months are refunded. Company fees may be prepaid at face value via Zelle, check, or Jackrabbit; these fees pass through to competition and event vendors and are non-refundable and non-creditable per the Company Membership Agreement.

Policy 4

Attendance, Class Conduct & Dress Code

Students arrive on time and prepared for every class. A student more than five (5) minutes late may be asked to observe that day, to protect class continuity and prevent injury on cold muscles. Repeated tardiness or unexcused absences may result in loss of class placement. Students are expected to be respectful and engaged; disruptions, phone use during instruction, refusal to participate, or a persistently disrespectful attitude may result in removal from class or dismissal from the program at the studio’s discretion. The published dress code is mandatory so teachers can see and safely correct alignment; a student without appropriate attire may be asked to observe, and for ongoing violations the studio may supply the required item(s) and charge the card on file with prior notice.

Weather and emergency closures: the studio follows the St. Johns County school calendar for weather closures; if St. Johns County schools close for weather, the studio closes as well. All weather or emergency closures are announced by email and BAND.

Policy 5

Class Observation, Drop-Off & Pick-Up

Families may observe classes by secure livestream through the Jackrabbit Parent Portal and SpotTV app, subject to availability, and in person during our two Showcase Weeks each season, one in the fall and one in the spring (designated classes, dates on the Master Calendar). Private lessons and rehearsals are closed sessions. The livestream shows children other than your own: recording, screenshotting, or sharing stream content or portal credentials is prohibited and may result in loss of access.

Outside of Showcase Weeks, all regular classes are drop-off and pick-up only, except the Preschool Program as communicated by the studio. The studio does not supervise dancers outside scheduled class times, so please pick up promptly. Each family keeps a current authorized pick-up list in the Parent Portal; the studio may request photo ID and will not release a dancer to an adult not on the list.

Policy 6

Private Lessons & Virtual Classes

Private lessons are scheduled through the studio and billed to the card on file at current rates. Cancellations require 24 hours’ notice; late cancellations and no-shows are charged in full, because the instructor’s time was reserved. If the instructor cancels, the lesson is rescheduled or not charged. For virtual classes, all conduct and dress code policies apply: join on time, on camera, in a safe clear space; families are responsible for their equipment, sessions may not be recorded or shared, and no credits are issued for participant-side technical issues.

Policy 7

Communication & Personal Property

Our official channels are email (info@thedancehouseco.com) and the studio’s BAND community for in-season announcements; official requests must be submitted by email. Bring questions or concerns to studio administration in writing and we will respond promptly. Teachers owe their full attention to the dancers in the room, so please do not approach instructors during or between classes. Families communicate with staff through studio channels rather than personal numbers or social media, and all communication in studio spaces, in person and online, stays respectful. Label all personal belongings; the studio is not responsible for lost or damaged items, and lost and found is held thirty (30) days, then donated.

Policy 8

Summer Programs

Summer tuition is billed in two installments: June programs on June 1 and July programs on July 1, automatically to the card on file; later registrations are charged at enrollment. Summer programs are planned months in advance, so deposits are non-refundable under all circumstances and tuition becomes non-refundable once the billing date has passed; no refunds, credits, or proration for missed days. If space allows, transfers to a different week or program may be requested up to seven (7) days before the start date. Registration is complete when selections are submitted, the deposit is paid, and forms are current.

Dancers arrive in convention dancewear with ballet shoes, jazz shoes, and clean indoor-only sneakers (ages two to four barefoot), hair secured, minimal jewelry, and layers for hip hop and contemporary. Bring a labeled water bottle daily; CampXcel brings a packed lunch and snacks (nut-aware encouraged), Mini Movers a small snack.

Last updated September 2026. The versions of these policies agreed to at registration govern.
